Executive Assistant, Office of the CEO

Reports to: VP of People & Culture
Supports: CEO, Founder/CTO, Chief Product Officer, SVP of Customer Success, and broader support for ELT
Location: Boston (3 days/week in office)

About the Role

The office of the CEO is where the most important work at CloudZero gets coordinated, decided, and driven forward. As we scale into a new category, that office needs to operate with precision, pace, and care.

This is an Executive Assistant role for someone who treats that as a craft.

This is not a traditional EA role. You'll be a trusted operational partner to our most senior leaders and the connective tissue across the executive team. You'll own complex calendars, but you'll also own executive meeting rhythm, offsite and onsite design, and the cross-functional projects that move faster because you're driving them. You'll anticipate what our executives need before they ask. You'll make every interaction with their offices feel sharp, prepared, and intentional. And you'll build the operating systems that scale the executive function as the company grows.

You'll thrive here if you treat coordination as a craft, take pride in flawless execution, hold a high bar for everyone around you, and want to build memorable experiences and lasting relationships with internal and external partners.

What You'll Own

• Strategic priorities and operating system. Partner with the CEO and ELT to track quarterly priorities, OKRs, and the strategic initiatives that matter most. Surface what's drifting, escalate what's stuck, and keep the leadership team focused on the work that moves the company forward.

• Executive Leadership Team (ELT) rhythm and decision quality. Own the weekly ELT meeting end-to-end: agenda design, pre-reads, decision capture, action items tracked to close. Build the operating cadence that keeps our leadership team aligned, productive, and accountable. Sharpen the quality of decisions by structuring tradeoffs, framing options, and following through on what gets agreed.

• Strategic initiatives and cross-functional execution. Drive the initiatives that sit between functions and would otherwise stall. Lead projects on behalf of the CEO when they need a trusted owner who isn't a function head. You won't always be the subject matter expert; you'll be the operator who makes sure decisions get made, owners are clear, and work ships on time.

• Executive communications and information flow. Draft, review, and synthesize the communications that move in and out of the CEO's office. Brief executives ahead of key meetings. Capture takeaways. Make sure the right information reaches the right people at the right time.

• Board and investor coordination. Partner with the CEO on board meeting prep, materials coordination, scheduling, and follow-through. Help shape board content, synthesize what matters, and serve as a confident, polished front door for board members and investors.

• Offsites, onsites, All Hands, and the company retreat. Design and execute the moments that shape how this company works together. Venue, agenda, content flow, vendor management, logistics, and the small details that turn a meeting into an experience people remember.

• Executive operations across the office of the CEO. Manage complex, fast-moving calendars across the executive team. Make tradeoff calls in real time. Protect deep work, board prep, customer time, and strategic thinking with equal rigor.

• Travel and expense management. Build itineraries that work. Process expenses cleanly. Make the logistics invisible so the executives can focus on the work that only they can do.

• Confidentiality. Handle the most sensitive material we have, including strategy, personnel, financials, and board content, with absolute discretion. This is non-negotiable, and the foundation everything else rests on.

  What You Bring

• 3+ years supporting C-level executives, with at least 1 year supporting CEO’s at high-growth software companies

• Demonstrated experience owning ELT meetings, offsite design, board coordination, and cross-functional project leadership

• Truly passionate about your EA craft and practice; Enthusiastic with the ability to engage and uplift those around you

• Track record of operating in fast-paced, transformative environments where priorities shift weekly and you're trusted to make the call

• Exceptional judgment about what to escalate, what to handle, and what to push back on

• Ability to influence senior leaders and build credibility with every interaction

• Sharp written communication; you can draft an exec-ready email, agenda, brief, or follow-up without supervision

• Exceptionally strong project management instincts and the ability to drive work to completion across people who don't report to you

• Fluency with Google Workspace, Slack, and modern productivity tools

• Demonstrated curiosity and proficiency in using AI tools to accelerate your work with both speed and quality

• Boston-based with ability to be in office 3 days per week, with flexibility for executive needs - 10% travel for ELT off-sites, events and travel to San Francisco as needed

Who Thrives Here

You take ownership under pressure without being asked. You see the gap and close it. You're proactive, not reactive. You're discreet in a way that earns trust quickly. You're calm when things move fast and faster when things move slow. You hold yourself to a higher bar than anyone else would set for you, and you hold the experience around the executive office to the same standard. You see this work as a craft, and you want to build something here.

Why This Role

CloudZero is at the inflection point of becoming a category-defining company. The person in this seat will have a front-row view of how that happens, direct partnership with our most senior leaders, and meaningful influence on how the executive team operates and scales. We're not looking for someone to manage logistics. We're looking for a builder who will turn the office of the CEO into a competitive advantage.

About CloudZero
CloudZero is the AI ROI Company. We built the financial control plane for AI: the system finance, IT, and engineering use to connect every AI dollar to the outcome it produced. Across every provider. In real time.

The largest cloud spenders on the planet already run on CloudZero, including Coinbase, Duolingo, DoorDash, and Shutterstock. We processed 14 trillion billing events in the last twelve months. We're the first listed partner on Anthropic's cost and usage API. We've raised over $119 million, including a $56 million Series C backed by leading venture capital firms.
